Title: Aramark surprise voice mail today

A couple of us received voicemails from Aramark about our trailer reservations being cancelled for this trip.

I contacted them directly for clarification and got a story that changed when Dave called later. Dave updated below.

Old trailers have been hauled off and new trailers are in place. They did not foresee any problem with our reservations until just now. Seems the National Park Service cannot commit to the date/time that they will do the hookups (plumbing and electrical) on the new trailers. For that reason, they had to 'cancel' our reservations.


This will be across the bay at Bullfrog.

There is only one trailer available for 4/29 - 5/6.

There are hotel rooms with two queen beds available.

The current hold that I put on is:

One trailer 4/29 - 5/6


What we need to decide today/tonight is what to do about hotel rooms. The hotel rooms do not have kitchens. We can cook at the one trailer.

Please advise tonight as I told the guy that I would call back tomorrow to lock in the number of hotel rooms.

I need to close on this tomorrow.

Important update.....Brian, the contact up there had his dates wrong.

There is only ONE trailer available as Kelley said from April 29th through May 6th at Bullfrog

There will be ONE other trailer available from April 30th through May 3rd. The rest are sold out. He is going to try and contact people reserved to see if they will opt for hotel rooms in order to accommodate us.

Everyone not in a trailer, or opting for a partial week will be put up in a hotel room. There is power available in the parking lot at a first come first serve option for your boat. I asked about security, and he said he had been there for a year, and not heard of any problems.

He is willing to provide as many rooms as we need for the group. Could not give a price, but said they would be heavily discounted to somewhere in the tune of 50 dollars a night.

The drive around versus taking the ferry would take 20 minutes longer

There is diesel, and gas available

Lois and I would take a motel room bottom floor if there is not an elevator as stairs would be rough for me.  But whatever works.  April 29th to May 6th for us.

So by saying hotel room you're talking about the Defiance House Lodge at Bullfrog and not some flea bag roach motel up the road, correct?

Billy Ho & I texted about this - our thought is as much as this freakin sucks, this just might be an interesting change for the positive.  You just never know how things will turn out.  Might as well make the best of it and make it work for us & the group.

So with only one trailer available for the entire week, my thought would be to fill that trailer and use it as a kind of home base.  If the group still wants to go forward with the meal planning use that trailer as the nightly restaurant & gathering area?  There is, however, a restaurant/bar in the hotel.

Bill & I are good with a motel room......

guys, I am going to bail this year. It has nothing to do about the situation we are facing now. I have been sick this month and had to take time to attend a family members funeral To attend I would have to take the time off unpaid no vacation left. It just seems to be the best thing to join next years trip. I have been looking forward to this trip and will surely miss you. I am only speaking for myself I know Marvin and Sievert are still going cannot speak for Timbo

That's the one thing I forgot to ask. I will ensure I get that info tomorrow. Again, Brian assured me that he is going to try and take care of us any way he can. There may be another trailer that comes available, but as of now I think we should just go with the idea of one trailer for the entire week, and use it like you suggested.

I'm very disappointed, but there isn't much I can do to change anything. This is something that I look forward to every year. Although there is a kink in the rope this time, I'm willing to give it a try. So I am up for a hotel room

Agreed. It will definitely be different. We need to get a price locked down per room though.

I would like a lower-level boat access one as well. I can't be carrying stuff up and down stairs.

Meals may take a different turn with less full-sized refrigerators available.

Debbie and I would go for a couple of nights at the motel, then switch to a trailer. If everyone stays in the motel we will have a problem with freezer space and the cooking in one trailer would suck. Who else would like to share a trailer with us from the 1st to the 6th?

Marv and I are in for motel rooms if need be.  I spoke with Timbo and he's going to contact One Blade tonight and chime in.  Sounds like an adventure to me.  Marv volunteered to bring up his Camp Chef stove for the trailer base camp to offer some capacity to the cooking effort.  Beyond that, all we need is decent weather and safe travels for all.

I'm guessing things will get further developed in the near future.

Haven't heard back from Timbo but I'm sure we can adjust.  I don't understand the comment sparkchaser, "The drive around versus taking the ferry would take 20 minutes longer".  Not sure what you mean drive around.  Here's the ferry schedule:

Basically in summer months it departs Halls Crossing 8am through 6pm, assuming it's functional.  We'd be up a creek if it's closed for repairs.

I would assume we'd still do meals and everything like that.  Haven't looked at the rooms too closely to understand the difference.

Timbo and I still coming up Tuesday so we need rooms as usual however you see fit.

Since we will have the two mutts with us, we will take the big room at the trailer. If somebody else wants it, we're also OK with the hotel.

I have reached out to Brain several times today to get more info about the area. Also to get an update on possible additional trailers, and room rates. All calls have been unsuccessful. I'll keep you posted....

Here is where I stand....I'm trying to make this work for all of us, and all of you have been great. The whole situation stinks, especially this late in the planning.  I'm hoping for the best outcome.

I'm going to try and continue to get a hold of Brian, who I assume is the Halls Crossing Manager through the next few days.

I'm going to call Aramark tomorrow and press them to compensate us for what has happened.

If I can not contact anyone and come to a conclusion by this weekend, I think we are all going to be on our own.

I'll keep you posted on everything I find out over the next few days. Hopefully with great news for everyone.

Progress is slow unfortunately. I received a call today from Brian, but was at work. I couldn't work out any details, as all of my info was at home. I told him I would return his call at 4, and received his voicemail.

I once again called Aramark. For the second time I am getting info from them that our reservation still is intact. I expressed the fact that some of us have received calls indicating that the trailers will not be available. They are oblivious to any of this, and deferred me to keep in contact with Brian going forward. The only reassurance I got is that any reservation made can be canceled at this point if in fact the trailers are not available.

I should be out of work tomorrow mid day, and plan to get a hold a Brian when hopefully we can come to some sort of agreement. One way or another I hope to have answers for all of you by then.

One thing I'd like to add to this mess. Maybe all of us should start looking at alternative plans going forward. It seems there is no way that we are going to be able to enjoy the same amenities that we have in the past. At least for this year.

Best case scenario presented is we have one trailer. Most of us will be in a hotel room.

It might be time to look at an alternative outcome.

I received the email all of us have been waiting for. Here is Brian's response:

Please see below. All hotel rooms, after taxes, are $54.53 per room. This rate is significantly discounted from the Best Flexible Rate for the Defiance House and is less than what you would pay for a family unit. All rooms are double queen, lakeview rooms, with the exception of Jerry/Louis and Steve/Wife. Please let me know if you need me to remove or add any rooms.

I responded back with the following questions and changes.

How many rooms do we actually have, as I asked for 10. It looks like we have 9 rooms with two of them being king bed rooms on the 1st floor for Steve and his wife, and Jerry and Louis. The rest are queen bed rooms on the second floor.

I updated the fact that two of the rooms would only be occupied from the 2nd through the 6th for Matt and Timbo.

I asked for confirmation on the trailer price, as it was at Halls.

I asked for Steve Jenkins reservation to be canceled, and his room added to my reservation to make things easier.

I left him a voicemail as well, so I hope to hear back today for final confirmation.

One more thing to add in your decision....

Doing the math 7 nights in the hotel at 54.53 comes to 381.71 per room. If some of you want to double up in a room let me know. Some people expressed that they wanted their own room, so that's what I asked for to include the entire group.

The trailers would have been 5 people sharing the cost of 1186.92 at 237.84 per person.

It's not what we originally agreed to, but he is giving quite a discount of the normal room rate

Mike and I appreciate all the work (and stress)that went into making other arrangements at such short notice. We contacted a friend of ours that also goes up this time every year and he offered us a room in his trailer for the 2nd thru the 8th so we are set and will not need a hotel. You all will have a couple of days head start on the hunt so we hope you find the fish before we get there and share your "hot-spots" once we meet up. Please let us know what trailer # the club is in and we look forward to partying with you there :dance:

If you read the email, he is giving us 10 rooms total with three being accounted for at the trailer. So essentially we are back to 7 hotel rooms. We need 10 rooms to make it so everyone has their own room.

Again, I'm sorry for the confusion this weekend. I responded back to Brian requesting the total above. (1 family unit, 10 hotel rooms) I stressed that we all had our own room/ space to sleep in with the original plan of 4 trailers at Halls.

I got a confirmation from Aramark last week for two rooms that I paid $169.00 deposit on each.  One for myself, one for Marvin.  If you are confused about where you are staying I suggest you open the pdf above and get one confirmed.  I'd contact Brian direct and get the right price.  Sparkchaser, chime right in here if you like.  I'm not trying to stir things up but everyone is in charge of reserving their own rooms correct?

One important thing I forgot to mention. Since there are multiple confirmations under 3 credit cards, please remember to get a copy of your receipt at the hotel. That way if it comes to being double charged we will have proof of payment.

Also, please remember to bring the confirmation number up with you for the room you will be taking.

Anybody know the electrical outlet & boat parking situation for the hotel?  Wondering where my boat will be parked overnight with regard to 120v electrical outlet as well as I may bring my battery powered alarm system to notify me if there is movement near my boat.

from what I was told there's 120v outlets in the parking lot. we are going to bring sever hundred feet of extension cord just in case
